We are proud to offer your business a great opportunity to showcase your services to bride and grooms that are in the early stages of planning for their big day at Reading’s Forbury Hotel on 26th February 2012.

The Venue
The luxuryForbury Hotel, is located in the centre of Reading and is one of Berkshire’s very finest venues to stage a wedding fayre. This will position your business as a major exhibitor to targeted clientele.

The Forbury Hotel, nestled in the heart of the Forbury Gardens was built in 1911 and is a Grade 1 listed building of the highest possible standard. Every room is stunningly furnished to an incredible level leaving nothing more to be desired for the guest.

It is because this venue is the perfect choice for wedding ceremonies and receptions requiring something very special that we have chosen this hotel to stage this special event.

About the Fayre
This event, with its committed level of professional in-store promotion, localised press advertising, full-colour leaflet distribution, in-store leaflets and dedicated online presence across several corporate websites will ensure a high level of public awareness is in place. Our partnership with the House of Fraser and The Forbury Hotel will carry its own magnitude and sets the level for wedding fayres in the future whilst offering the bride and groom the greatest selection of choice available within one venue.

The cost
For this unique opportunity to showcase your company at The Forbury Hotel  on 26th February 2012 the cost will be £130.00 exc vat (if booked before 1st December 2011). For bookings placed after this date the cost will be £170.00 exc vat. All bookings are subject to availability.

Your space at The Forbury and Parking
We are offering this unique opportunity to carefully selected businesses chosen by us and will operate on a ‘first-come, first-served’ basis. Your space will include a 6’ x 2’ table covered with a white table cloth. If you have any special requirements or require additional space for the day, please call our events team on 0118 929 82 22. Once booked, your placement will be guaranteed. In the unlikely event that two similar professions are attending, we will ensure as best we can that you are not placed in close proximity. Where possible, similar businesses will be placed on/in different floors/suites.

Because the Forbury Hotel is situated in a busy town centre, please note that there is no parking at the hotel. Exhibitors are welcome to use the front of the hotel for dropping off only. There is a car park at the rear of the hotel accessed off Abbey street leading to Abbey Square RG1 3EB. All cars must be removed from the car park to make way for wedding car exhibitors and guests. Please use this area for dropping off only.There are a number of car parks in the area so please allow enough time to drop off and set up.

Marketing the event and your services
We are aware that our own marketing for this event beforehand is of key importance for exhibitors that wish to take part. We want you to get the most from exhibiting at The Forbury Wedding Fayre and the best way to do this is to make sure that everyone knows you are going to be there and give them a reason to visit you.

To help you spread the word, let everyone know that you are exhibiting and remind people that you are there, we will:

• Advertise in prime newspapers 3 months leading up to February 2012 at regular intervals via full-colour adverts
• Large format banner advertising at the venue ahead of event
• Bespoke advertising in one of Reading’s highest quality department stores – The House of Fraser.
• List your business on our website as an exhibitor with your logo including a brief company description (supplied by you)
• Present each event attendee with an exhibitor guide on the day
• Create a link to your own site where you can expand on your service
• Include your own marketing collateral in the Wedding Pack

Wedding Pack
Brides and wedding parties coming to the Fayre are always keen to walk away with freebies from the event. Each guest will receive a Wedding Pack that will be compiled before the big day. To include your own items in the pack please contact our event managers at: events@dumdumdeedum.co.uk

Event schedule
We will have assistance on hand to guide you to your own area as soon as you arrive. You are advised to arrive no later than 09:30 on the morning of 26th February 2012 to allow yourself ample setup time ahead of the event. If timing needs to change we will notify you in advance. The Wedding Fayre itself will be open to clients from 11:30 and will finish at 16:00.

This event will be exclusive, open to only 35 exhibitors. Timed to perfection
With marriage proposals happening any day of the year, St Valentine’s Day is, without doubt, THE single most popular day for grooms to pop the big question!. With this in mind, our event on 26th February 2012 has been specifically planned to harmonise with this unique day of the year and is sure to maximise unrivalled interest on the day.

The Facts
The current average cost for a wedding in the UK is now thought to be in the region of £20,000. Being seen and, ultimately making the wedding parties aware of your business should be an essential part of your annual marketing budget.

EXHIBITORS TERMS AND CONDITIONS

  1. The venue will be open to the exhibitors from 9:30am for the setting up of displays. All exhibitors must be in place and set up by 10:30am. At 10:30am any vacant display area may be reallocated to other exhibitors and will be lost to the booking party with no refund offered. Exhibitors will not dismantle their display prior to 15 minutes before the shows closure without the prior consent of the organisers. Any exhibitors doing this risk not being invited to subsequent shows. The venue will remain open until 5.15pm by which time all exhibitors must have cleared their display area.
  2. The event organisers reserve the right to amend the times set out in point 1 up to the day of the event and will update all exhibitors accordingly either by email or telephone as soon as any time change is decided.
  3. Exhibitors will ensure they have sufficient insurance cover for their exhibited goods and people accompanying or working with or for them for the duration of the show.
  4. Exhibitors will adhere to all Health & Safety requirements
  5. The organisers reserve the right to restrict the display, demonstration or the running of mechanical or other item that the organisers deem to be a danger to any person or of annoyance to other exhibitors.
  6. In the interests of fairness it is not permitted for an exhibitor to sub-let stand space or show time, nor display products from different business areas than that booked, nor will they distribute advertisements from businesses not at the show except with prior written consent from the event organisers.
  7. Exhibitors will observe that the giving out of leaflets in and around the entrance and no display banners or equipment will be on display other than to the rear of the allocated table space to prevent impairment on other exhibitors for Health & Safety reasons.
  8. DumDumDeeDum and/or The Forbury Hotel will not be responsible for the loss, damage or theft of any exhibits, goods or other items brought to the show. Exhibitors are responsible for any Injury to Third Parties or Damage to Third Party Property. Exhibitors will not be reliable for any negligent error, act or omission on the part of DumDumDeeDum and/or The Forbury Hotel.
  9. If the show is cancelled for any reason outside the control of DumDumDeeDum and/or The Forbury Hotel, DumDumDeeDum and/or The Forbury Hotel will not be liable for any costs or losses incurred by the exhibitor. Also, 50% of the total fee paid / owed for that particular Show by the exhibitor will be taken towards pre-advertising and administrative costs should a cancellation take place. This clause includes cancellation due to weather related issues and any decision made to cancel a Show by the organisers of The Forbury Wedding Fayre shall be deemed to be the correct decision (weather related or otherwise).
  10. Exhibitors are required to pay a non-refundable non-transferable £50.00 deposit to secure their stand position for the event.
  11. The payment balance is due by 26th January 2012. If the balance is not paid by then, the display area may be offered elsewhere and the deposit will not be refunded.
  12. In the event that any exhibitor wishes to cancel their booking, the following time schedule will apply regarding payment and refunds – If notice is given on or before 20th December 2011 fees will be refunded or not chargeable excluding the deposit element which will not be refunded (See 9 above). After 20th December 2011 date, the total fee will be payable in full.
  13. Cancellations must be made via telephone 0118 929 82 22 or via email to events@dumdumdeedum.co.uk with ‘Cancellation’ in subject field. The effective date to determine the payment schedule in 11 above being when the Cancellation is signed for as received by the organisers. The show date itself does count in the time schedule.
  14. Any bookings made within 28 days of the show date must be paid for in full and will be subject to the conditions outlined in 11 above allowing for a cooling off period of 24 hours from the day booked.
  15. Exhibitors booking within 28 days of the show date accept that there can be no guarantee their details will be included within The Forbury Wedding Fayre if one is published though every effort will be made to do so.
  16. Notwithstanding any of these rules exhibitors will comply with all relevant regulations or reasonable instructions issued by the police, local authority, or officials of DumDumDeeDum and/or The Forbury Hotel.
